This online training module will introduce you to the basic features of syngo Dynamics SysAdmin in VA40. SysAdmin Introduction The syngo Dynamics System Administration (SysAdmin) application is the key configuration program to manage user and group privileges, study types, worksheet and report template assignments, reporting workflow, measurement sets and many other system communications functions. All syngo Dynamics users must be entered into the syngo Dynamics system and assigned to a group. The person designated as the syngo Dynamics Administrator controls access to the system. SysAdmin Introduction The syngo Dynamics System Administration (SysAdmin) application is the key configuration program to manage User and Group Privileges, Study Types, Worksheet and Report Template Assignments, Reporting Workflow, Measurement Sets and many other system communications functions. All syngo Dynamics users must be entered into the syngo Dynamics system and assigned to a group before they can log in to other syngo Dynamics applications. The person designated as the syngo Dynamics Administrator controls access to the system. ? Administrator As the Administrator, you usually have the following privileges assigned to you: Use SysAdmin and Modify Departments, Privileges, Passwords and access to all SysAdmin Tabs. These privileges allow you to make changes in SysAdmin to configure users and the system. This module serves as an introduction to some of the basic tasks in SysAdmin. Please note: Additional on site application training is required in order to understand the full scope of the SysAdmin Application. Administrator As the Administrator, you usually have the following privileges assigned: Use SysAdmin and Modify Departments, Privileges, Passwords and access to all SysAdmin Tabs. These privileges allow you to make changes in SysAdmin to configure users and the system. This module serves as an introduction to the basic tasks in SysAdmin, including managing users, licenses, groups, privileges and study types, as well as template assignments and reporting workflow. Please note: Additional on site application training is required in order to understand the full scope of the SysAdmin Applications. ? Start SysAdmin To start SysAdmin: Double-click on the SysAdmin icon on your desktop. Alternatively, click the Windows Start button and search for SysAdmin in the Start menu. Please note: SysAdmin must be installed on your system first. Start SysAdmin To start SysAdmin: Double click on the SysAdmin icon on your desktop. Alternatively, click the Windows Start button and search for SysAdmin in the Start menu. Please note: SysAdmin must be installed on your system first. Log in and Log off ? Log in to SysAdmin If Active Directory integration exists and you have been configured as an Active Directory user, you can log in to SysAdmin using your Active Directory credentials. Alternatively, you can log in to SysAdmin using your local user credentials: Select the required Department from the drop down list. Enter your user name and your password. Click on Login. Log in to SysAdmin If Active Directory integration exists and you have been configured as an Active Directory user, you can log on to SysAdmin using your Active Directory credentials. Alternatively, you can log in to SysAdmin using your local user credentials. To log in to syngo Dynamics using your syngo Dynamics credentials: Select your Department. Enter your Login name and Password. Click on Login. ? Account Lock Out You will be automatically locked out if you exceed the account threshold for log in attempts. For example, if your account threshold is set to three and the configured time is set to 15 minutes, you will be locked out after 3 failed login attempts within 15 minutes. If you are locked out, please contact your System Administrator. If you are the only Administrator, please contact your Siemens Healthineers Service Representative. Account Lock Out Please note that you will be automatically locked out if you exceed the account threshold for log in attempts. The account threshold is configured by your System Administrator and is based on a number of attempts within a configured time period. For example, if your account threshold is set to three and the configured time is set to 15 minutes, you will be locked out after 3 failed log in attempts within 15 minutes. If you are locked out, please contact your System Administrator. Your System Administrator can reset your account password and provide you with new log in credentials. If you are the only Administrator, please contact your Siemens Healthineers Service Representative. ? Exiting SysAdmin Prior to exiting SysAdmin, ensure that you have saved your changes. Select Save in the top right corner. To Exit the SysAdmin Application: Select File and select Exit (1) Or Click on X in the top right of the screen (2) If there are unsaved changes when you exit, a dialogue box will popup asking you if you want to save your changes. Select Yes. 1 2 Exiting SysAdmin Prior to exiting SysAdmin, ensure that you have saved your changes. Select Save in the top right corner. To Exit the SysAdmin Application: Select File and select Exit OR Click on the X in the top right of the screen. If there are unsaved changes when you exit, a dialogue box will popup asking you if you want to save your changes. Select Yes. SysAdmin Overview ? SysAdmin consists of tabs that allow you to configure and adjust the settings of various system functions. In the top left corner of SysAdmin, you will find the File, Edit and Help menus. In the File menu, you can exit SysAdmin. In the Help menu, you access Help documents and information regarding your system. About SysAdmin displays information for the syngo Dynamics software version. The User Manual contains user documentation regarding SysAdmin. The release notes contain information pertaining to the application release version. In the top line of SysAdmin, you will find menus and buttons related to the department, the Reload button and the Save button. You can select the department using the drop down menu. The changes that you make in SysAdmin, are only applicable to the currently selected department. You use the Save button to save changes that you make in SysAdmin. You use the Reload button to refresh SysAdmin. Please note that this training will not cover each tab in SysAdmin in full. This training will cover the most commonly used settings. License Tab ? License Tab Overview Licensed Features The Licensed Features list displays all features that are available, the green check mark indicates which licensed features are available as part of your purchased license file. Please note that certain features require more than one license to work as designed. Workplace License Usage The Workplace License Usage table contains the following information: Workplace where the license is being used, the department using the license and the user name of the current user. The license remains in use until the user logs out of the application. License Package Name The License Package Name can be changed to a different license package, but only after all licenses have been released. The License Package Name appears disabled until no licenses are listed in the Workplace License Usage table. Total Licenses and Available Licenses The Total Licenses and Available Licenses fields are updated to reflect the licenses for the License package. Department Auto log off Using Department Automatic Logoff you can configure SysAdmin and the Workplace to log off after a time period of inactivity from 5 to 240 minutes. The default time is 30 minutes. If you change the time, you must select Save. For the Workplace, the Department Automatic Logoff only affects the Workplace with the floating licenses and is department specific. License Tab Overview The License tab in SysAdmin displays all of the license information for the departments that use the selected license package. Licenses enable users to work with a system feature. If a license is not available, either the user interface associated with the license will not be displayed or the application will prevent the user for working with the feature. Click on the circles to learn more about the different parts of the license tab. ? Floating and Fixed Licenses The Workplace License Usage table contains information regarding the current license use. (1) Floating licenses are a group of licenses that can be used by syngo Dynamics. Licenses are consumed until there are no more licenses available. (2) A Fixed license can be reserved for a particular Workplace. This means that a license is always available for that particular Workplace, even if all of the floating licenses are currently in use. 1 2 Floating and Fixed Licenses The Workplace License Usage table contains information regarding the current License use. Floating licenses are a group of licenses that can be used by syngo Dynamics. Licenses are consumed until there are no more licenses available. If a user attempts to log in, when all licenses are in use, a message is displayed and the user will not be able to log in to the application, until some other user logs off and an available license is released. A Fixed license can be reserved for a particular Workplace. This means that a license is always available for that particular Workplace, even if all of the floating licenses are currently in use. Any syngo Dynamics user can use the fixed license on the assigned Workplace. ? Sending Messages to Users As an administrator, you can broadcast messages to all users logged into the selected department. Click Message (1). Enter the message to be sent. Click OK. Please note: Messages are only displayed to users logged in to that specific department at that time. 1 Sending Messages to Users As an administrator, you can broadcast messages to all users logged into the selected department. Create a unique login name. Update the default password. You should enter the first and last name as a minimum in the User Info. Managing User Accounts Managing User Accounts No audio in slide. Audio in video: vid_syngo_dynamics_va40_user_account.mp4 As the Administrator, you can view a list of all available user accounts from the Users tab in SysAdmin. Select the Users tab to view current user accounts and to perform the following: Add new user accounts Edit user information Please note: When changing department settings, adding new users, or changing user privileges, in order to apply any changes for a particular Workplace, you need to restart the syngo Dynamics Workplace Application, so that the changes can take effect for that Workplace. The list of Users is on the left side of the User tab. When you have selected a User, the Selected User Profile is displayed in the center of the User tab. The available Groups are listed on the right side of the User tab. To add a new user, click on New User at the bottom of the Users column. Delete the default login name and type in a unique login name. Click Password to change the default password. Each name and password, should be a combination of no more than 20 letters and numbers with no spaces. These login credentials are also used to log in for web access to studies. The login name is case sensitive. The complexity of the password required is dependent on the site specific configuration. Please note: There is no requirement for a password, you could leave it blank if desired. If Active Directory integration exists, the Active Directory check box is enabled. Otherwise, it is grayed out. Select the Active Directory User check box to associate the Active Directory user to the selected department. If you do not select the check box, the user is added as a local user. To add an Active Directory user, you must log into SysAdmin using your Active Directory credentials. This allows you to search the Active Directory database. Search for the user using the Active Directory credentials. The search is based on the exact user name. If the search is successful, the user details appear on the screen. To retain the details, click on the confirmation message that appears. For Active Directory users, the Password button is disabled. To complete the User Profile, enter the first and last names of the user in the name fields. If you leave the names blank, some activities may not be possible at the workplace. Specifying the prefix, middle initials and suffix are optional. The information in the other fields are optional. Enter as much or as little in these fields. Next, you must assign the user to a group. You control user access by assigning group membership. Consider each membership carefully. Be sure to assign the appropriate access level to each user. Select the user and select the check box next to the group that you want to assign. To remove a user from a group, click on the check box to uncheck and remove the selection. The Report Verification Alert check box is selected by default. When selected, the Physician will receive a notification when verifying a report that is assigned to another physician. To disable this functionality, uncheck the check box. To save the details, click on Save. To modify an existing User, select the User from the Users list. If required, you can use the search function. Select the Search Mode from the drop-down list and enter the characters for the account that you are searching for. Update the User information as required and select Save to store your changes. You can change the password for local user accounts. Click on Password. The Change Password dialog is displayed. Type in the new password and type in the password a second time to confirm it. Click Change Password to confirm the changes. Manage Groups and Privileges ? Groups and Privileges Overview You assign each user to a group. You can control access to syngo Dynamics system functions by adding and removing the privileges assigned to a group. You manage the groups and the privileges in the Privileges tab. If a user is assigned to more than one group, that user will have all of the privileges of the groups in which they are a member. Privileges Tab The Privileges tab is divided into three parts: On the left, the available groups are displayed in the Groups list. (1) The privileges assigned to a group, as indicated by the checked boxes, are displayed in the Privileges list. (2) The users assigned to the group have check boxes next to their name in the Users list. Managing Groups and Privileges Managing Groups and Privileges No audio in slide. The groups are displayed on the left in the Privileges tab. When you select a group in the Groups column, the assigned privileges are displayed in the center of the Privileges tab and the users assigned to the group are displayed on the right in the Users column. The assigned privileges and user members are indicated by the boxes that are checked. To add or remove privileges, check or uncheck the check box next to the privilege. You can also use Select All or Deselect all at the bottom of the Privileges column. This function can be of use for groups that require most privileges or for groups that require very few privileges. Consider privilege changes carefully. If you make a change of any privilege for a particular selected group, that change affects all members of the selected group. Double check the users assigned to the group in the Users column. All group members share access to the privileges assigned to the group. To create a new group, select New Group at the bottom of the Groups column. Enter a group name in the dialog box. You will need to assign users to the group in the Users tab. To delete a group, select the group in the Groups column. Click on delete group at the bottom of the Groups column. Please note: you should only delete groups during set up, not when users are assigned to the group. Deleting a group removes all of the associated privileges for all users who belong to the group. It does not delete individual users assigned to the group. Manage Study Types ? Study Types Tab Overview As an administrator, you define the study types used in a department in the Study Types tab. You assign the appropriate Calc Types and Default Measurement Sets for these Study Types. Additionally, for reporting, worksheet and report templates are assigned to specific Study Types. The study types entered in SysAdmin should match the study types that are sent to syngo Dynamics from the acquisition device. Study Types Overview As an administrator, you define the study types used in a department in the Study Types tab. You assign the appropriate Calc Types and Default Measurement Sets for these Study Types. Additionally, for reporting, Worksheet and Report templates are assigned to specific Study Types. The study types entered in SysAdmin should match the study types that are sent to syngo Dynamics from the acquistion device. ? Study Types Tab Study Types Tab No audio in slide. Click on a study type to display the Selected Study Type Info. If required, you can rename the study type in the Name field. You can create a new Study Type, by selecting New at the bottom of the Study Types list. Enter the name of the Study Type. The Calc Type list allows you to select which calculation type you would like associated with the study type. Click on the arrow to select from the list. For Cardiac, Vascular, and General calc types, you can also assign a default measurement set for the study type. This will be the default set of measurements to be revealed, for that study type when the Calc Palette is opened. Measurement Sets are configured in the Measurements Tab area of SysAdmin. Select the Measurement set by clicking on the arrow and selecting from the list. If no measurement set is selected, the default is All. Measurement sets should be reviewed during system setup. If you have the option enabled, you can configure the study data export location. When a study is selected for export at the Workplace, an XML file containing the study details is exported to the specified location as per the scheduled export. Click the button with three dots to Browse, to specify the study data export location. Alternatively, you can type in a valid export location. When a study is selected for export at the Workplace, an XML file containing the study details is exported to the specified location as per the scheduled export. The Transaction Code field is specific to a study type. The transaction code is required to process the billing information as per the schedule and to a configured location. After making any changes to the export directory, restart the IIS for the changes to take effect. For stress echo studies, to display the study type in the stress image layout in Image review, select the check box next to Stress Image Layout. For Electrophysiology studies (EP) with supported EP systems: To import electrophysiology data from third-party systems into a syngo Dynamics study, select the Import Electrophysiology Data check box. This enables the menu item in the Import menu at the bottom of the Worksheet. For Siemens Sensis or supported third party hemodynamic systems: to import Sensis hemodynamic data or EP data, or hemodynamic data from a third-party hemodynamic system, select the Import Hemodynamic Data check box. Please note that requisite feature licenses are required for importing third-party or Sensis Hemo/EP data. You can configure syngo Dynamics to export procedure log and discrete data from a hemodynamic system or electrophysiology system to an Electronic Health Record System (EHR) integrated with syngo Dynamics. Data is exported automatically or can be manually exported from a Workplace. If the study description for an incoming study is empty or not present, syngo Dynamics assigns the study type to the incoming study based on the associated modality and the mapping defined in the Unspecified Study Types fields. Templates Tab Overview In the Templates tab you can assign the desired worksheet and report templates, that will be displayed by default for particular Study Types when the study worksheet and/or report are opened. In this tab the selected Study Type is typically linked to the desired worksheet template, which in turn is linked to the desired report Template. If required, you can assign additional multiple Templates to be available by menu selection for specific Study Types. Templates Tab Overview In the Templates tab you can assign the desired Worksheet and Report templates, that will be displayed by default for particular Study Types when the study Worksheet and/or Report are opened. In this tab the selected Study Type is typically linked to the desired Worksheet template, which in turn is linked to the desired Report Template. If required, you can assign additional multiple Templates to be available by menu selection for specific Study Types. In order to make changes to the templates, they must first be checked out. After you have completed your changes, check the template back into the system. Once checked in, they will be available for use on the Workplace. You check templates in and out of your system from the Template Management section of the Templates tab. To check templates in or out, you must have the appropriate Privilege assigned. ? Templates Tab There are three columns in the Templates tab: The Study Types column displays all of the available study types for the selected department. (1) You assign the worksheet template to display in the Assign Worksheets to (selected) Study Type column. (2) You assign the report template to display in the Assign Reports to (the selected) Worksheets column. You can assign one Worksheet per study type. Select the Worksheet to assign to the study type in the Assign Worksheet Templates to Study Types column. Click on the check box next to the required template. To make additional Worksheets available for a particular Study Type: while the study type is still highlighted, click on the menu check boxes for any desired additional Worksheets. The additional Worksheets will then be available at the bottom of the Worksheet, when using the Worksheet application. You can assign one or more reports to each worksheet. Select the desired worksheet in the Worksheet column. Select the required Report or Reports in the Assign Reports to the selected Worksheet column. You can also define additional multiple reports to be available by menu selection, by selecting the Menu checkbox for additional desired Reports. The additional Reports would then be available from a drop down menu, at the bottom of the Report, when using the Workplace application. ? Templates Check-out and Check-in Once templates are installed on your system, to make changes to the templates, they must be checked out first. All changes made to the templates are available for use at the Workplace after you check the templates back in to the system. Please note: this chapter will not explain how to modify templates in the Report Designer application. Please contact your Siemens Healthineers Sales or Service Representative for more information regarding Report Designer education options. Templates Check-out and Check-in Managing templates is a privilege and should not be completed without proper training on Report Design. Once templates are installed on your system, to make changes to the templates, they must be checked out first. All changes made to the templates are available for use at the Workplace after you check the templates back in to the system. The following slide will demonstrate how to check templates out and check templates in. Please note: this chapter will not explain how to modify templates in the Report Designer application. The following steps describe the workflow to check out templates. Log in to SysAdmin and select the Templates tab. Click on the Template Check-out button at the bottom left of the tab. A progress indicator is displayed below the button. Select the folder that your syngo Dynamics system has automatically set up with your site name and department in the My Templates folder, within the My Documents folder. If you have previously checked out templates to the folder, when you check out the new templates, the previous files will be overwritten. If you would like to keep the previous files, click on New Folder. Click OK. In the case that you are overwriting the previous files, a message is displayed to inform you that the old files in the check-out folder will deleted and replaced with the new Template files. Click Yes if you wish to continue. Click No to cancel the process. When the check out is complete, a message is displayed informing you about the success. Click OK to clear the message. You can modify the templates using a stand-alone version of the Report Designer application on any system that has the Report Designer application installed. ? The following steps describe the workflow to check in templates for a single department. Log in to SysAdmin and select the Templates tab. Click on the Template Check-in button, located in the Template Management area, at the bottom left of the Template tab. You can check in templates even if users are logged in and studies are open. Your syngo Dynamics system will attempt to locate and select the folder that contains the template files; however, if you have moved the content to a different folder location, or if you have renamed the folder, please make sure that the correct folder is selected, before checking in your templates. Click OK. If you do not want to check-in the files, select Cancel. After you select Check-in, the system will verify and check in the entire contents of the selected template folder, and perform the necessary updates. When the check in is complete, a message is displayed informing you that the check-in process was successful. Click OK to clear the message. For any user that has the Study open, in the department for which templates are checked-in, a message is displayed to them, informing the user that the templates have been updated. It is recommended that the user close and re-open the study to view the updated templates. The updated templates are only available for viewing after the study has been closed and re-opened.
