teamplay - Data Access Groups

Today we will have a look at the data access groups within team play and also the license information for your team play institution. I am Steffen from the Siemens Healthineers education team and let's get started. Data access groups allow you to control which users can access data from certain modalities in your institution. We've prepared two example scenarios where data access group make sense for your institution. In the first scenario, your institution has several sites at different locations. You can set up data access groups in case the key performance indicators of a single site should only be visible for authorized users of this single site. The second scenario resembles an institution that is separated into several departments, like for example oncology, cardiology, or radiology. Data access groups can help you in case the KPI's of each Department should only be analyzed by authorized users of that specific Department. To leverage the potential of data access groups. We have to use categories. Assigned devices and modalities and the user management to make full use. We will start with navigating to the device administration and the category section. In one of my previous videos, I had created a sub category for our hospital locations which is Mountain Springs up. I will use that for the demonstration. But you can also go ahead and create a new category. It is important that this category is enabled for data access. With my existing category, I will do that by. Setting the check mark. And thereby enabling it for. Data access. In the next step, I will go ahead. And assign my modalities to that category. So I switched to device administration. And I search for the two modalities that are located in my mountain spring sub. And what I will do is I will assign them my knew category which is under hospitals location. And then my Mountain Springs sub category. In the next step I will. Navigate to the data access groups which I can find under users roles groups in the main menu. And select the top data access groups. In here I have already created some data access groups. Which I will use. For our demonstration. Within the test group. That has been already created. I can hit the pencil. And then here you can see. That might create it category which is Mountain Springs up. I can now select this category. And apply it to my data access group, which is the test group. You can also select create knew. And define your own data access group, which could be for example Mountain Spring sub. And employees. To resemble a remote location of our institution. And during the creation you can already go ahead and assign your different categories that are enabled for data access to this data access group. I will now cancel. This new group. In the next step we have to assign this data access group to the respective users. Therefore navigate back to the user section. And then here you can either use the pen symbol. To assign data access groups. Which in my case would be the test group. Or, as you already know, you can do that via the checkmarks in the front and then the respective select action. Assign groups and you choose your respective data group here. The extent and availability of teamplay functionalities depends on which licenses your institution has purchased. As a basic customer who uses team play as a free of charge version, not all functionalities are activated. To check the available licenses of your institution, you can go via the main menu. To the license section. Be reminded that this is only possible with certain user roles that are assigned to you. You will be redirected to the licenses page where you can find detailed information about all licenses such as expiration dates, volume usage, and which sort of license your institution holds in general.
