Atellica® Process Manager User Cases- FTE Efficiency and Problem Samples Reports FTE Efficiency Report The FTE Efficiency report provides information on staff productivity to help simulate the impact of potential staffing changes. Use this report to compare the workload of tests received with your staffing plan to identify improvement opportunities. It is intended for use by a staffing changes are lab director or administrator who is responsible for staffing. The data could help to identify whether needed during certain days of the week or certain shifts. Set No . of Non-Management FTE 10 Sun Mon Tuo Wed The Day - Selected Filters: Mar FTE Efficiency Report Insights: ➢ For the weekdays (Monday through Friday) the data may show that Non- Management FTEs are able to produce a higher number of reportable tests per person (e.g. 400-550 tests per day) than on the weekends (Saturday and Sunday) if the same staffing levels are used despite the lower testing volumes ➢ Simulate the appropriate staffing levels by selecting different numbers of Management FTE and Non-Management FTE to see what levels are needed to achieve the same level of productivity (approximately 400+ tests per day). Use the Month filter to select one month and confirm selection with the green checkmark 2. On the Tests Started and Reportable Tests Per Non-Management FTE by Weekday graph change the y-axis to Avg Daily Reportable Tests per Non-Management FTE 3. Change the staffing levels to 3 Management FTE and 10 Non-Management FTE as if this was your actual staffing levels in the lab 4. Note the Average Daily Reportable Tests in the graph for Monday through Friday. Note whether the values for Saturday and Sunday are the same, less, or more 5. Use the Day filter to select Saturday and Sunday only. You can then adjust the staffing level values for Management FTE and Non-Management FTE for Saturday and Sunday to bring the workforce productivity to the same level as during the week. You may need to adjust these up or down from the values entered previously in step 3 Problem Samples Report The Problem Samples report displays sample errors that occur over time. The report enables laboratories to identify and respond to the patterns, frequency and causes of problem samples. The Problem Samples report helps to identify root causes of sample problems in the laboratory or in the pre-/post-analytical process (for example: short samples, missing orders, integrity issues, lost tubes). Has a new protocol been introduced? Does the test directory need to be updated? ➢ A high number of clotted samples are coming from the Emergency Room to the laboratory. Is there a new phlebotomist in training that may not have handled or mixed the tubes properly? ➢ There has been an increase in short draws (Insufficient Fluid In Primary Sample Tube) over the past several months. Is it specific to a draw site or patient location? Practice: 1. Select a month and confirm selection with the green checkmark to investigate the highest error counts seen for this month 2. Review the Sample Error Counts by Error Description graph and identify the highest error counts for that month 3. By selecting a specific sample error in this graph and then selecting the green checkmark, the entire report will now display data for that specific sample error type 4.
