Atellica® Process Manager User Cases- Throughput and Turnaround Time Statistics and Exceptions and Reports Throughtput Report The Throughput report displays metrics on released tests. The report allows the laboratory to visualize how testing workload is managed in the laboratory. Menu mapping can be displayed for each platform and menu mapping comparisons can be quickly assessed. Key data elements include graphing by Test Name, Patient Location, Time, and System. There is also a graph with the Average Throughput by Time with minimum and maximum values. This may be impacting the turnaround times for this patient location. The laboratory should investigate their routing rules on the automation system to make sure that the workloads are balanced across analyzers. The mapping of tests for efficient throughput in the laboratory effects many other aspects of the testing protocol including system efficiencies, waste and turnaround time. Use the System filter to select all analyzers of the same type, confirm the selection with the green checkmark and then compare the throughput of the selected analyzers 2. Review the Throughput by Time graph in the top left to see if there are significant differences between the number of tests run on these analyzers during the months displayed 3. Use the Priority filter to look at only STAT samples for these analyzers. See if one of the analyzers is running mostly STAT samples 4. Look at the Throughput by Patient Location graph in the top right and see where most of these samples are being collected. (e.g. ED) Turnaround Time Statistics Report The Turnaround Time Statistics report provides meaningful data insights around this important key performance indicator (KPI). The turnaround time metric is evaluated by all laboratories and is a key transparency metric often shared with the hospital and physicians they serve. This metric is closely monitored; especially critical testing such as Troponin. Being able to identify root cause for outliers and take appropriate and timely action would allow the laboratory to consistently meet the TAT targets. Statistics such as average, median, standard deviation, and 95th percentile provide the data needed to make customer commitments with confidence (e.g. service level agreements). The Turnaround Time Statistics report displays the turnaround time (TAT) for all tests. The data enables laboratories to monitor daily TAT, compare to the target TAT for specific tests, and investigate outlier TAT. The lab can also use this data to adjust lab workflow to meet TAT targets. This information could help the lab avoid signing customer service agreements based on the average – helping the lab avoid financial penalties for cases when the TAT commitment is not met. ➢ Data may show that most of the TAT is taken up by the pre-analytic process before the sample is received in the lab. The lab may want to investigate why it is taking so long to receive the samples into the lab. Practice: 1. Use the Month filter to select a month to review the TAT statistics. Change the target turnaround time to 1 hour and 0 minutes in the Set Target TAT fields on the left side of the report. The TAT Statistics and TAT Exceptions report data changes when the target turnaround time is altered. Make sure to have values in both the Hours and Minutes boxes for the Set Target TAT. You must have values (even if they are 0) in both boxes for the information to update 2. Adjust the Set TAT Parameter to desired TAT Start Event (e.g. Sample Collection time), which determines when the turnaround time begins to be measured. Review the average, median, 90th and 95th percentile performance for the selected month in the TAT Statistics table at the bottom of the report. Statistics for both Routine and STAT testing are displayed. To assess whether the lab is meeting their TAT targets for a specific test, you can click on the + sign next to Routine or STAT and scroll to find the desired test and associated statistics 4. Take note of the data in the Number of Excluded Tests box at the bottom of the report. Test results that are still pending (unreleased tests) and tests that are missing a Collection Time are not included in any TAT-related calculations or test counts 5. To examine the TAT exceptions that did not meet the Target TAT, navigate to TAT Exceptions hyperlink at the top right corner of the screen Turnaround Time Exceptions Report The Turnaround Time Exceptions report displays detailed information about any tests that did not meet the turnaround time (TAT) target selected on the Turnaround Time Statistics report. Evaluate and investigate TAT exceptions using a variety of data filters to identify trends with equipment, tests, patient locations, specified time period, or STATS/Routines. It is possible that the expected TAT for this patient location is not appropriate (outpatient draw facility) and may need to be adjusted accordingly ➢ Go back to the Turnaround Time Statistics report and look at the time elapsed between different TAT Start Events for this location: “Sample Collection”, “Test Order Received”, and “Test Order Received and Sample Loaded.” This may show that the biggest bottleneck occurs upstream of the lab right after the sample collection time Practice: 1. Select the same month and use the 1hour TAT target from the TAT Statistics report 2. Look at the TAT Exceptions by System graph in the bottom left to see if one or more of the analyzers are causing most of the TAT exceptions 3. Look at the TAT Exceptions by Patient Location graph in the bottom right to see if one or more of the patient draw locations are causing most of the TAT exceptions. You can also change the Y-axis to % Over Target to see the % of tests for each location that are not meeting the 1-hour TAT target 4. Use the Priority filter to select the STAT filter. To look at the STAT performance for one location, click on the location with the highest % over target in the TAT Exceptions by Patient Location graph.
